The job

The job description

Six tasks Hannah takes on, inside the systems your team already uses.

01

Capture and code invoices

Collects supplier invoices from inboxes and portals and codes them to the right accounts.

02

Match to POs and receipts

Checks each invoice against its purchase order and receipt, and flags any differences.

03

Route for approval

Sends bills to the right approver, following your limits and cost centers.

04

Chase overdue invoices

Sends payment reminders on your schedule and logs every customer reply.

05

Reconcile daily

Matches bank and card transactions against the ledger each day.

06

Prepare month-end

Builds month-end schedules and a close checklist for your controller.

Two ways to work

Hannah drafts or finishes. You set the line.

We recommend starting every task in copilot and moving it to autopilot once your team is happy with the results.

Copilot

Hannah prepares. A person approves.

Waiting for approval

Hannah matches a supplier invoice to its purchase order and spots a price difference on one line.

It asks your AP lead whether to approve, query or reject it.

Autopilot

Hannah finishes the job, inside your guardrails.

What Hannah won't do without you

Hannah follows these rules on every task. Add your own on top, and every action is logged.

How oversight works
01

No payment without approval

Never releases a payment. Every payment run waits for a named approver.

02

Flags, never forces

Flags mismatches instead of forcing a match, and logs the reason for every adjustment.

03

Your collections policy

Follows your collections policy for tone and timing, and hands disputes to a person.

FAQ

Before you hire Hannah

Still have a question? Talk to us
No. Hannah never releases a payment. It prepares the payment run, with the invoices and approvals behind each line, and every run waits for a named approver on your team. Hannah can send reminders, match invoices and reconcile accounts on autopilot, but anything that moves money stays with a person.
You set them, and Hannah follows them. Bills are routed for approval according to your limits and cost centers, in line with the rules your team already uses. Payment runs always wait for a named approver, whatever the amount. Role-based access controls who on your team can change the limits.
Every step Hannah takes is logged: what it read, what it changed, which rule applied and who signed off. Adjustments carry a written reason, and approvals stay linked to the invoices, purchase orders and receipts behind them. So when someone asks why a bill was paid or a balance was adjusted, the record is there.
Hannah works with the chart of accounts, cost centers and approval rules already in your ERP or accounting system. It doesn't bring its own. When the right account for a line isn't clear, Hannah flags it for a person instead of guessing. We map your setup with you during onboarding, before Hannah codes a single invoice.
